Guidelines: Working with team members not officially funded by the Prototype Fund

Officially, only team members registered through the application to the BMFTR are part of the Prototype Fund.

However, our experience in previous rounds of the Prototype Fund has shown that it is sometimes beneficial for projects to integrate additional team members as deeply as possible in the structures of the Prototype Fund. Reasons for this can be, for example:

  • The team member lives outside Europe and could not be part of the official project team.
  • The official participation of the team member is not financially worthwhile.
  • The team member is on parental leave during the funding period.
  • The team member is not responsible for the core tasks of the project and/or only provides selective support for a specific topic (specialist expertise, fundraising/admin, etc.).
  • The team member supports the sponsored person in certain tasks (accompanying person/support for more accessibility).

In such cases, team members can be invited to be an unofficial part of the funding round upon request to the program management.

Requests must be justified. The final decision lies with the project supervisor. There is no right to unofficial participation in the funding class.

What do I get if I am an “unofficial team member”?

A person who is designated as an “unofficial team member” at the Prototype Fund is not officially funded, but may participate in all Prototype Fund formats:

  • Kick off workshop (only with registration and approval from the program management)
  • Exchange formats
  • 1:1 meetings
  • Coaching sessions
  • Online seminars
  • Demo Day (please register as a guest - after consultation with program management, unofficial team members can also present the project with the officially funded team).
  • In case of a Second Stage: online kick off and closing event of the Second Stage

Unofficial team members may subscribe to the mailing list and have access to the Zulip chat platform.

Unofficial team members can be added during the funding period if it makes sense for the project.

What am I not entitled to as an “unofficial team member"?

Unofficial team members are not entitled to travel expenses - the funds are only budgeted for official grantees.

Unofficial team members cannot represent the project at the Prototype Fund on their own. At least one officially funded person must always attend mandatory calls (e.g. 1:1 meetings). All official team members are expected to attend the Demo Day and the kick off workshop - unofficial team members can be invited after consultation with the program management.

Unofficial team members are not entitled to be included in the official team - the team constellation is fixed from the time the application is submitted and cannot be changed.

Unofficial team members are unable to participate in the pitch session for the Second Stage application.

For unofficial team members, as for all Prototype Fund participants, our Code of Conduct applies.

How do you decide who can take part as an "unofficial team member"?

Basically, if the request is well-founded, we try to make it possible for your unofficial team members to participate.

If we have too many requests, we may have to turn down requests so that funding rounds do not become too large or the proportion of non-official team members does not become too big.

The number of unofficial team members should not be too large: a four-person team cannot register four additional unofficial team members.

Places (and catering) are limited at the kick off workshop. We may have to be stricter there. At the Demo Day, however, anyone who has supported your project can register as a guest.
