Antragsworkshop
Der Antragsworkshop findet statt, nachdem ihr von der Jury des Prototype Fund zur Förderung ausgewählt wurdet und bevor die Förderphase beginnt (Schritt 2 nach der Bewerbung). Während dieser eintägigen Veranstaltung werdet ihr beim Ausfüllen der offiziellen Förderunterlagen unterstützt, die für die Bewilligung durch das BMBF noch benötigt werden.
In English: formal application workshop.The formal application workshop takes place after you have been selected by the jury for funding and before the funding phase begins (it is the second step after the application). During this one-day event you will get support to fill the official documents needed by the BMBF (Ministry of Education and Research) for the grant.
Begleitforschung
Wir evaluieren die Bedingungen und die Wirksamkeit des Förderinstruments Prototype Fund, damit andere von uns lernen können. Dafür werden Daten rund um die Förderung der einzelnen Projekte erfasst und ausgewertet. Wir fragen Fakten zu Themen um den Source-Code, die Projektstruktur, Arbeitspläne sowie Probleme und Erfolge im Förderzeitraum ab. Ihr bekommt eine erste Mail zur Datenerhebung (Online-Umfrage) etwa im 5. Monat der Förderung und wir kontaktieren euch ca. ein halbes Jahr nach Förderende für ein Interview. Hier könnt ihr die Berichte der letzten Runden lesen.
In English: accompanying research. We evaluate the limits and the efficiency of funding instrument that is the Prototype Fund so that others can learn from us. To this end, we collect and evaluate data regarding the funding of the projects. We gather information around the topics of source code, project structures, work plans, and challenges and successes during the funding period. You will receive a first email for data collection (online survey) around the 5th month of the funding period and we will contact you around 6 months after the end of the funding phase for an interview. BMBF
Das Bundesministerium für Bildung und Forschung (BMBF) stellt die Gelder bereit, mit denen der Prototype Fund Projekte fördern kann und finanziert die Arbeit des Team Prototype Fund bei der OKF. Ihr müsst nicht direkt mit dem Ministerium kommunizieren.
The Ministry of Education and Research provides the funds that allow the Prototype Fund fund projects and finances the work of the Prototype Fund team at OKF. You will not communicate directly with the ministry.
Coaching
Ihr bekommt während der 6-monatigen Förderzeit zwei Coachings von unseren Partnern von Superbloom. Die Coachings werden gemeinsam mit der Projektbetreuung organisiert.
During the 6-month funding period you will receive two coaching sessions by our partners from Superbloom. The coachings are organized together with the program managers.
Demo Day
Der Demo Day ist die vom Team Prototype Fund organisierte Veranstaltung, bei der ihr euch und eure Projekte am Ende der Förderphase vorstellt. Ihr könnt eure Arbeit in einem Vortrag, einem Panel, einem Workshop oder einer Demo präsentieren. An der Veranstaltung nehmen Vertreter*innen des DLR und des BMBF sowie geladene Gäste teil. Ihr seid herzlich dazu eingeladen, auch Gäste mitzubringen!
The Demo Day is an event organized by the Prototype Fund in which you present your project at the end of the funding period. You can present your work with a talk, in a panel, a workshop or a demo. Representatives of the DLR and BMBF and other invited guests attend the event.
Demo Week
Während der Coronazeit musste die Abschlussveranstaltung leider 100 % online stattfinden. Dafür haben wir diese Webseite gebaut, auf der ihr euch über die Projekte der Runden 7-10 informieren könnt.
During the corona pandemic the closing event (Demo Day) had to be replaced with an online project presentation. We built this website where you can read about the projects of rounds 7-10.
DLR
Das Deutsche Zentrum für Luft- und Raumfahrt (DLR) ist der Projektträger (kurz: PT) des Prototype Fund. Das DLR-Team organisiert und verwaltet die Förderung auf administrativer Ebene. Ihr habt auch direkte Ansprechpartner*innen beim DLR, an die ihr euch bei administrativen Fragen, z. B. zu Abrechnungen, wenden könnt. Wichtig: Administrative Veränderungen wie z. B. Umzüge sollten bis zum Erhalt des Schlussbescheides an eure*n DLR-Ansprechpartner*in gemeldet werden.
The German Aerospace Center (Deutsche Zentrum für Luft- und Raumfahrt) is the Projektträger (PT) of the Prototype Fund. The DLR team organizes and manages the funding at the administrative level. You have direct contact persons at DLR whom you can turn to for administrative questions, e.g. about invoicing. Important: Administrative changes such as relocations should be reported to your DLR contact person during your funding time and until you have gotten your official closing notice (“Schlussbescheid”).
Easy-Online
Das ist das Portal für die Anträge und alle Formulare rund um die administrative Projektförderung (z. B. den Antrag). Wendet euch bitte mit allen Fragen dazu am besten an eure Ansprechpartner*innen beim DLR.
Easy-Online is the portal for formal applications and all forms related to administrative project funding (e.g. the formal application - “Antrag” in German). If you have any questions about the platform, please contact your DLR contact person.
Gruppencalls
Am 4. Montag im Monat trefft ihr euch mit der Projektbetreuung und der gesamten Runde zu einem Call, um über den Stand der Projekte zu diskutieren und Ideen und Tipps auszutauschen. Vor jedem Call sendet euch die Projektbetreuung die Liste der Projekte, die ihr Projekt im nächsten Call vorstellen werden. Jeder Call dauert etwa eine Stunde.
In English: Group Calls. On the 4th Monday of the month, you will have a call with the program managers and the whole funding round to discuss the status of the projects and exchange ideas and tips. Before each call, the program managers send you the list of projects that will present their work in the next call. Each call lasts about an hour.
Innovation
Der Prototype Fund ist ein Innovationsförderprogramm. Wir verstehen Innovation in unserem Förderkontext u. a. als Software-Anwendungen, die einen gesellschaftlichen Mehrwert bieten, mit und für eine konkrete Nutzer*innen-Gruppe gestaltet werden.
The Prototype Fund is an innovation funding program. In our funding context, we understand innovation as, among other things, software applications that offer added value to society and are designed with and for a specific and concrete group of users.
Kick-Off
Der Kick-Off ist der eintägige Auftakt, der zu Beginn der Förderphase stattfindet. Er ist eine Gelegenheit, das Prototype-Fund-Team, die Coaches und die anderen geförderten Projekte eurer Runde kennenzulernen. Der Kick-Off besteht aus Workshops und Inputs darüber, wie die Förderphase abläuft.
The Kick-Off workshop is the one-day event that takes place at the beginning of the funding phase. It is an opportunity to get to know the Prototype Fund team, the coaches and the other funded projects in your round. The Kick-Off consists of workshops and inputs on how the funding phase works.
Mailingliste
Die Mailingliste ist der Kommunikationskanal, über den das Prototype-Fund-Team wichtige Informationen während der Förderphase an euch übermittelt. Alle Projektmitglieder sollten die Mailingliste abonnieren. Da wir versuchen, die Anzahl der Nachrichten auf der Mailingliste so gering wiemöglich zu halten: Bitte benutzt die Mailingliste nicht für Gespräche mit anderen Projekten – dafür haben wir die Chatplattform Zulip!
The mailing list is the communication channel through which the Prototype Fund team communicates important information to you during the funding phase. All project members should subscribe to the mailing list. As we try to keep the number of messages on the mailing list as low as possible: Please do not use the mailing list to talk to other projects - we have the chat platform Zulip for that!
Montags-Update
Das Montags-Update ist der zwei-wöchentliche Bericht, den alle Projekte an die Projektbetreuung senden. Dieser Bericht hilft uns und euch dabei, den Fortschritt der Projekte zu verfolgen. Wir können euch so bestmöglich in der Förderung unterstützen und euch kann es das Schreiben des Schlussberichts erleichtern. Das Update, das immer am Montag bis 14 Uhr der Projektbetreuung per E-Mail oder im Chat zugesandt werden soll, beinhaltet diese Teile:

- Motivations & challenges (Das motiviert/bremst uns gerade)
In English: Monday update. The Monday Update is the report that all projects send to the program managers every two weeks. This report helps us and you to follow the progress of the projects. It allows us to support you in the best possible way and it can make it easier for you to write the final report. The update, which can be sent to the program managers by email or chat on Mondays, 2pm latest, answers these questions:
- Done (This is what we have done in the last two weeks):
- Doing (This is what we are doing this week and next week):
- Motivations & challenges (This is what is motivating/slowing us down right now)
Open Knowledge Foundation (OKF)
Der Prototype Fund ist eines der Projekte unter dem Dach der Open Knowledge Foundation Deutschland e. V. Das Prototype-Fund-Team arbeitet hauptsächlich im Büro der Open Knowledge Foundation in Berlin.
The Prototype Fund is one of the projects under the umbrella of the Open Knowledge Foundation Deutschland e. V. The Prototype Fund team works mainly in the Open Knowledge Foundation office in Berlin.

Projektbetreuung
Die Projektbetreuer*innen sind eure Ansprechpartner*innen im Prototype-Fund-Team. Sie bleiben mit euch in den Montags-Updates, Gruppencalls und Zwischengesprächen in Kontakt und stehen im Chat oder per Mail zur Verfügung, um eure Fragen zu beantworten oder einfach mal zuzuhören. Wenn ihr Unterstützung braucht, meldet euch einfach bei uns!

Ist der Sammelbegriff, den wir für Open-Source-Technologien mit gesellschaftlichem Mehrwert verwenden, wie wir sie beim Prototype Fund fördern. Eine ausführliche Definition und weitere Infos findet ihr hier.
This is the term we use for open source technologies with social added value, such as those we promote atPrototype Fund. You can find a detailed definition and more information here.
Schlussbericht
Den Bericht müsst ihr nach Abschluss der 6-monatigen Förderphase schreiben. Für diesen kurzen Bericht schickt euch der Projektträger DLR gegen Ende der Förderzeit Richtlinien. Wir empfehlen euch, euch während der Förderphase Notizen (z. B. mit den Montags-Updates) zu machen, da dies bei der Erstellung des Berichts hilft. Die Vorlage für den Bericht befindet sich hier und die Berichte der vorherigen Runden können hier heruntergeladen werden.
In English: final report. You have to write your report at the end of the 6-month funding period. The DLR will send you guidelines for this short report towards the end of the funding period. We recommend that you take notes during the funding period (e.g. with the Monday updates), as this will help you to write the report. Software Sprint
Der Prototype Fund wird im Ministerium intern als "Software Sprint" geführt und ist entsprechend auch in der Förderrichtlinie des BMBF bezeichnet, in der Öffentlichkeit erscheint er aber nur unter Prototype Fund. Nichtsdestotrotz ist “Software Sprint” der offizielle Name für den Prototype Fund, der in der Kommunikation mit dem BMBF benutzt wird.
While it is publicly known as “Prototype Fund”, the funding program you are participating in is known internally in the Ministry as "Software Sprint" and is also named accordingly in the BMBF's funding guidelines. The Term “Software Sprint” is commonly used in our communication with the BMBF.
Superbloom
Das Superbloom-Team ist für die Coachings zuständig. Weitere Informationen über die Arbeit und den Ansatz von Superbloom gibt es auf superbloom.design.

Zahlungsanforderung
(Kurz auch ZA genannt.) Beim Prototype Fund werden die Fördergelder quartalsweise ausgezahlt: Nach dem ersten Monat, dem vierten Monat und dem sechsten Monat der Förderung. Dafür müsst ihr eine Zahlungsanforderung auf dem Portal Profi-Online stellen. Bei Fragen rund um die Zahlungsanforderung bekommt ihr Unterstützung von euren DLR-Ansprechpartner*innnen.
In English: payment request - also called “ZA”. At Prototype Fund, grants are paid out quarterly - after the first month, the fourth month and the sixth month of the funding time. To receive it, you must submit a payment request on the Profi-Online platform. If you have any questions regarding payment requests, you can get support from your DLR contact person.
Zulip
Zulip ist der Ort, an dem sich geförderte Projekte, Alumni und Teams online treffen. Die Einladung für die Plattform bekommt ihr von den Projektbetreuer*innen, danach müsst ihr ein Passwort setzen. Der Link für die Platform ist talk.prototypefund.de. Nach der Registrierung stellt euch bitte im #general-Channel vor und kommuniziert euer Handle an die Projektbetreuung, um in den privaten Channel für eure Förderrunde aufgenommen zu werden.
Zulip is the place where funded projects, alumni and teams meet online. You'll get an invite to set a password from your program managers. To log in, go to talk.prototypefund.de. After joining for the first time, please introduce yourself in the #general channel and communicate your handle to the program managers in order to be invited into the private channel for your funding round.
Zuwendungsbescheid
Der Zuwendungsbescheid ist der Brief mit der Bewilligung der Fördermaßnahme, also der Zuwendung. Darin enthalten sind die an die Zuwendung geknüpften Bedingungen, viele Erläuterungen und weitere Dokumente, die noch der Form halber ausgefüllt werden müssen.
In English: grant notification. The “Zuwendungsbescheid” is the letter officially approving your funding. It contains the conditions attached to the grant, many explanations and other documents that you have to fill for formal reasons.
Zwischengespräch
Während der Förderphase trefft ihr euch zweimal persönlich mit der Projektbetreuung. Entweder vor Ort in Berlin, bei einer Veranstaltung oder in einem Video-Call. Dieses informelle Treffen dient dazu, sich auszutauschen und mögliche Probleme oder Bedürfnisse anzusprechen. Das zweite Treffen kann auch genutzt werden, um gemeinsam an Demo-Day-Präsentationen zu arbeiten.
In English: 1:1 meeting. During the funding phase, you will meet with the program managers twice in person, either in person in Berlin or at an event, or in a video call). This is an informal meeting where we have a relaxed chat and address possible problems or needs. The second meeting can also be used to discuss Demo-Day presentations.
