Meeting-Etikette

(English version below)
Meeting Etiquette
This meeting etiquette is intended to make all digital meetings that take place during the funding period as pleasant as possible for all participants. It applies to all PTF meeting formats as well as meetings with Projektträger, Superbloom or others. Please read them carefully!
For participants:
- Find a suitable location where you will be as undisturbed as possible for the duration of the call. When choosing your work location for the call, consider whether the background noise could make it hard to understand you. Participating from a noisy café or train can make it difficult for other participants to follow.
- Be on time: The room is always open, so you can come in early without any problems.
- Be prepared: If there are ways you can prepare for the calls, we’ll let you know in advance. For example, for consultation hours with Superbloom, please share your questions in advance so that the coaches can prepare properly.
- Do a technical check: Check that your hardware is working and familiarise yourself with BBB. The meeting room is always open so that you can test everything at your leisure.
- Name yourselves: When naming yourselves, please include your (nick)name, the project and - if you like - your pronouns.
- Switch off the camera: Otherwise the infrastructure will quickly reach its limits in calls with 20+ participants. When you talk, you are welcome to switch on your camera if you wish.
- Switch off your microphone when you are not talking. Sometimes there is background noise that you won't hear with headphones, but the microphone will hear it all the more.
- Consider the time: It doesn't matter whether you are presenting something yourself or have questions for others. Please remember that other participants may also have questions and that we want to start and finish on time.
- Be respectful: The same etiquette applies in the digital space as in analogue: Listen actively and let others finish speaking. Be polite and respectful, even if you have a different opinion. Do not simply make film, photo or audio recordings. Our Code of Conduct also applies to digital meetings.
- Do you have any other accessibility requirements? Let us know in advance and we will try to accommodate you!
For hosts:
- What applies to participants also applies to hosts!
- Clarify responsibilities in advance: appoint a moderator, a contact person for technical problems and/or a note-taker so that such arrangements do not take time away from the call itself. Also consider how transcripts are to be shared after the call and who is responsible for this.
- Test presentations or functions that you want to use in advance. A person from the program management will always be there ten minutes before the start of a call to help you with potential tech issues.
- Clarify procedures in advance: Do all hosts know the agenda? When can questions be asked, in between or at the end of an input, via chat or by reporting? Is there anything else the co-hosts and/or participants need to know beforehand?
- Please be there 10 minutes before the call so that you can go over any final arrangements and carry out technical tests with the program management.
- Use HedgeDoc and/or the note function of BBB for transcripts and notes. Login is possible with your Zulip login and password. If you need a pad, please contact us in advance.
- Please switch on your camera when you're giving your presentation, so that the participants can follow you more easily.
