Allgemeines

Was: Beantwortet 8 (bzw.

Was: 5 Minuten Pitch, 5 Minuten Fragen beantworten

Save the date

Was: Second-Stage-Abschlussworkshop JG01
Wo: Berlin, genaue Location tba
Wann: tba - voraussichtlich der 27. März 2026
Uhrzeit: tba - voraussichtlich 14-19.30 Uhr, danach Community-Treffen

Ablauf

In English: Second Stage

General info

There is an issue in technology and FOSS funding: innovative projects are readily financed, but it often remains unclear what happens afterwards. Few technologies are ready for operational use and self-financing after the initial funding runs out.

For this reason, we offer the Second Stage, which provides an opportunity to work for a further four months on securing the project’s sustainability.

The aim of the Second Stage is to improve the usability and visibility of the project, increasing its chances of long-term sustainability once the funding period ends.

Reminder: Projects that don't participate in the Second Stage are not less valuable to us. We estimate that approximately 50% of each round will participate in this extended funding period, and there are many reasons why a project might not participate. Maybe it's not a good fit for your project, or you personally don't see the need for this type of support. Maybe your project is already sustainable and you just need the six months to code. Maybe your application for the regular funding period was great, but your application for the second phase doesn't fit the scope of the Prototype Fund.

Application for the Second Stage

If you haven't already applied for the Second Stage, the following paragraphs are not relevant for you: Unfortunately, it is not possible to add a Second Stage at this point, as the maximum duration and the maximum amount of funding allocated to your project was made final after your general application.

If you have applied for the Second Stage, the funds allocated for the four additional months are locked for now. During the 5th month of funding, a jury will allocate the limited Second Stage spots based on your work during the first months of funding as well as a new, short application. The decision is based on a written submission and a short online pitch session.

To prepare for your application, please read this wiki page. On September 2nd at 2 PM, we will hold a consultation hour during which we will be happy to answer your questions about your Second Stage application (in German and English). We are also happy to discuss your application and your goals for the Second Stage during the 1:1 meetings.

To stay fair, we do not answer any questions regarding the content of your Second Stage applications. However, we can assess whether your ideas for the Second Stage are eligible for funding (i.e., whether we are allowed to fund the type of project, whether it involves too much development work, etc.), give you general tips, and answer any questions you may have about the formalities. If you are unsure, just ask!

Also important: The coaching sessions with Superbloom cannot be used to prepare your application (written or pitch). Of course, it is perfectly fine if you want to discuss how to make your projects more sustainable during the coaching sessions. You can read about how we define the boundary between “application preparation” and “steps toward sustainability” on the coaching page.

Written application

When: From September 18th to September 30th, 2025 - Please note: Submissions after the deadline will not be considered for selection!

Where: bewerben.prototypefund.de – the exact link will be sent via email

What: Answer 8 (or 9) questions about your plans for the Second Stage funding

The written application must be submitted via our application platform, which you already know from your initial application for the Prototype Fund. Based on the current status of your work, you must answer the following questions and provide your ideas for the Second Stage:

Your project in the regular funding period

- Which milestones have been achieved and what were the results? (max. 100 words)
- Will all planned milestones be achieved by the end of the regular funding period? If not, why? (max. 100 words)
- What measures have been taken so far to reach users? (max. 100 words)

Your plans for the Second Stage

The written application may be submitted in German, or if you are not a native German speaker, in English.

Your plans for the Second Stage funding can differ from what you wrote in your initial application. If what you had planned for the Second Stage no longer seems realistic or feasible, you are welcome to change your plans for the four-month funding period. The important thing is that your project has a clear focus and feasible within the available time.

Reminder: In the Second Stage, the focus is no longer on development work. Development milestones that were not achieved during the regular funding period cannot be carried over to the Second Stage unless they are necessary steps for making your project sustainable and you can justify why these milestones weren’t reached in the regular funding period. The aim of the Second Stage is to set your projects on the path to sustainable structures, whether through establishing a company, building a community or forming partnerships, writing documentation and conducting user testing, implementing communication strategies, etc. Of course, this may result in minor development work (e.g., adjustments based on the results of user testing, merging community contributions, bug fixes, etc.), but these milestones should not be the main focus and can only be funded if they support the other milestones. These are the type of milestones that can be funded in the Second Stage:

Here are some examples of milestones that are eligible for funding in the Second Stage. (This is not an exhaustive list: other measures may be more suitable for your projects. You do not have to cover all of these topics in your application, which ones are relevant to you depends on the focus you plan for your Second Stage. If you are unsure whether your ideas are eligible for funding, please feel free to ask us!)

Specific steps to improve the visibility, usability and sustainability of the project (main focus of your application for the Second Stage):

  • User testing
  • Partner acquisition
  • Establishment of a business (administrative setup, marketing & customer acquisition, etc.)
  • Presence and presentation at conferences
  • Creation of a website and/or other communication strategies
  • Community work
  • Outreach
  • etc.

Technical development (can be funded as a small part of your Second Stage, but can’t be the main focus):

  • Completion of features that are still missing (e. g. due to delays, bug fixes, dependencies, etc.) and are important for the sustainability of the project.
  • Development of features not foreseen in the initial application which have e.g. proven useful in user testing or in discussions with potential partners.
  • Adjustments based on user testing
  • Integration of community contributions
  • Bug fixes
  • etc.

The technical milestones must support the project's overall sustainability strategy and be justified in this context. We will send you a detailed information email and the link to the application platform well in advance.

Licenses in the Second Stage

Code:

  • The code written during the paid hours of the regular funding phase must be published under a FOSS license—without exception.
  • The code that is contributed directly to the project in the Second Stage (additional features, adjustments based on feedback, bug fixes, etc.) must also be published under a FOSS license. If code is written for a partner and cannot be published under a FOSS license, these hours must be paid for by another party, such as the partner.
  • For sustainability measures that are not direct contributions to the code of your funded project, you should always check if the code can be licensed under a FOSS license - this is the case for a project website, for example. Exceptions should be justified in the application for the Second Stage.

Other products developed in the Second Stage:

  • Texts, logos, images, and similar items created in the Second Stage do not have to be published under a Creative Commons license. However, we would appreciate it if you chose to do so.
  • Following the same approach, we would like to encourage all grant recipients to use as many FOSS products and privacy-friendly tools as possible when implementing the milestones in the second phase. This applies, for example, to communication tools and platforms used for community interaction. This is, however, only a recommendation: grant recipients are free to decide for themselves what makes sense for their projects. Sometimes new target groups can only be reached on certain platforms such as LinkedIn or Instagram. In cases like this, it is helpful to include a brief explanation in your application so that the jury can assess the suitability of your strategy.

Pitch session

When: October 10th, 2025 – each project will be assigned a specific time slot. We will contact you by email in the beginning of October.
Where: Online – even if you live in Berlin (otherwise it wouldn't be fair)
What: 5 minutes pitch, followed by 5 minutes for questions
Language: German (or English if you aren’t a native German speaker)

The pitch session will take place exclusively online on October 10th. Each of the projects teamswill have 5 minutes to explain to the jury why the Second Stage is important for their project, what goals they are pursuing, and what strategy they intend to implement to make their project more sustainable. After every pitch, the jury will have the opportunity to ask you questions about your application and your pitch.

The presentation format for the pitch is up to you: slides, screen sharing, visuals, everything you need. You just have to make sure that you answer the following questions:

  • Why do I/we need the Second Stage?
  • What is my/our specific goal in the Second Stage?
  • How will this goal be achieved?

Please let us know latest by October 5th by email how you would like to give your presentation (slides, screen sharing, etc.). If you would like to use slides, we need them as a pdf by email by 3 PM on October 9th at the latest. Around this time, we will organize test sessions where you can dial into the video tool we’ll use for the pitches and quickly test your presentation, sound and video. We will send you more information about the test session via email.

The Second Stage jury consists of two judges from the jury pool, representatives of the DLR-PT and the Prototype Fund – a representative from the BMFTR is also expected to attend the session. The evaluation is based on the technical status of the project (the project does not have to be 100% complete two months before the end of the regular funding period, but you must be able to show that the work is progressing well), the measures taken to ensure sustainability (e.g., community building, public relations), and the planned steps for the Second Stage funding. After the pitch sessions, the jury will discuss the results and propose a list of projects for funding for the Second Stage, on the basis of which the BMFTR will make the final decision. The decision will be communicated to you approximately two weeks after the pitch session. A total of up to 15 projects will be funded for the Second Stage. The number of funded projects will depend on the quality of the submissions. Not all spots in the Second Stage have to be filled, i.e., fewer projects may be funded if the quality of the applications is not sufficient.

Working hours and number of hours

In the Second Stage, you can apply for a maximum of €63,333 as a team and a maximum of €31,667€ as an individual. These amounts are based on two or one full-time positions over four months. The hourly wage is capped at €50.

It is generally possible to apply for the Second Stage with fewer hours than you specified in your initial application. In the Second Stage, you can also plan fewer hours per week than in the regular funding phase.

This can be useful if you realize during the funding period that the Second Stage work will require less time than originally planned. Perhaps you already managed to set up a paid collaboration with a partner, or your project is already being partially cross-financed by other sources of funding. Or you are employmed , have taken a leave of absence for the funding period, and would like to return to your job at 50% and work on the Prototype Fund project for the remaining 50%.

There are many different scenarios, and it is perfectly fine if the original schedule changes. Ultimately, the specific tasks for the second stage are only being defined within the current funding period. Please feel free to contact us if you have any questions.

Releasing the funds for the Second Stage (“Entsperrung”)

Currently the funds for the four additional months of funding are locked. Before you can get started with the Second Stage, you must submit an official request to release these funds. They can only be unlocked after the final and official funding approval. A template will soon be available for download here. To do this, fill in the comments field on profi-online in the “Antrag auf Änderung Haushaltsdaten” form with the following text:

Please adjust the expressions in brackets accordingly to your project and your Second Stage application.

The total number of working hours you specify must match the total number of working hours from the Second Stage application as confirmed after the jury meeting. If you have any questions, please contact your contact person of the DLR- PT.

Payment requests

In the regular funding phase, you could request the funds for the previous quarter (retrospectively) at the beginning of each quarter, specifically after the first and fourth funding months. In the Second Stage, this process continues and you will receive further payments after the seventh and tenth month of funding.

There are two special features to note regarding the two payment requests in the Second Stage:

  • The funding request in January is to be submitted as an interim report („Zwischennachweis"): The funding request falls at the turn of the year (funding amount for October to December, to be requested in January). For this purpose, an interim report must be submitted via profi-Online. Once you have clicked on your funding code in the project list, you can select „Zwischennachweis" (interim report) on the left side of the list.
  • The Funding request in April is to be submitted as a so-called statement of use („Verwendungsnachweis“): The second funding request in the Second Stage is your fourth funding request overall and also the last one for the whole funding period. The last funding request must be requested as a statement of use and submitted to the DLR-PT together with the final report. The statement of use will be activated by the DLR-PT in profi-Online after the end of the funding period. Please note that there is a deadline for submission: the statement of use and final report must be submitted by April 30th at the latest.

Information on the final report can be found here. Information on payment requests and interim reports can be found here.

Mandatory to-dos

  • In addition to the implementation of the key focus areas as specified in your application, a number of mandatory requirements must be fulfilled during the Second Stage:Coachings: As opposed to the regular funding period, the coaching sessions are mandatory in the Second Stage and are designed to cover two topics, each spanning four hours. The topics and coaching partners are determined together with the program management and in keeping with the recommendations from the jury. In addition to one mandatory coaching session with Superbloom (design, project management, community, communication, fundraising, etc.), other coaching partners with different areas of expertise are available for the second coaching session in the Second Stage: Least Authority (security), VDI/VDE (starting a company/business models), the Free Software Foundation Europe (licensing) and Iris Wellmann (free coaching/strategy). Places are limited for all coaching sessions. The final decision on the allocation of coaching sessions lies with the program management.
  • Participation in the online kick-off, two 1:1 meetings and Monday updates: As in the regular funding phase, the 1:1 meetings and Monday updates are mandatory in the Second Stage. In the 1:1 meetings, the general status of the project and its strategy are discussed and the final workshop is prepared. These can be held online or in person in Berlin or at events (e.g. CCC, FOSDEM). In addition, an online kick-off for the Second Stage takes place as a video call.
  • Writing a blog post or an article for the PTF Knowledge Base: Sharing (knowledge) is caring! Every project funded as part of the Second Stage has to publish an article on the Prototype Fund blog or in the Knowledge Base by the end of the funding period. If a contribution has already been written during the regular funding phase, this obligation does not apply. The topics of the contributions will be determined together with the program management and the person responsible for communication at team Prototype Fund. Alternative formats and ideas can be discussed individually with the project management.
  • Preparation for and participation in the final workshop: At the end of the Second Stage, the final workshop takes place in Berlin. All team members of all projects have to participate. The participation of team members who are not officially funded is not planned, exceptions can be discussed (as early as possible) with the program management. External project partners (approx. two per project) will be invited to the workshop. The guests will be selected and invited together with the project program management.
  • Documentation: At the end of the funding period, publicly available documentation must be submitted to the program management team for all Second Stage projects. The type of documentation may vary depending on the project. While the code of a project should always be properly documented, additional documentation measures depend on the target group: various types of tutorials for end users, admin documentation for self-hosted projects, developer documentation for libraries and other infrastructure projects, etc.
  • Final report: After the completion of the funding period, the final report ("Schlussbericht") is to be submitted to the DLR-PT along with a so-called statement of use ("Verwendungsnachweis"). The deadline for all documents is one month after the funding ends. Detailed information can be found here.

Please keep in mind: projects that receive ten months of funding also take part in Demo Day after six months.

In addition, we offer the following optional formats to support you during your Second Stage:

Closing workshop of the Second Stage

The closing workshop is the event that happens at the end of your Second Stage funding period. The event, which takes place in Berlin in March, is intended to give you the opportunity to exchange ideas and celebrate the end of the funding phase together. It will also be the occasion for you to present your project to invited guests during a workshop.

Save the date

What: Closing workshop of the Second Stage Class01
When: tba – likely March 27th 2026
Where: Berlin, exact location tba
Time: tba - likely 2 pm - 7.30 pm, community meet-up afterwards

Schedule

After an internal part where you can share your experiences with us and learn from each other, a two-hour workshop with external guests will take place. All projects will have a table where they can present their project to their invited guests. We recommend that you think early on about what you would like to offer and who you would like to invite: Would you like to meet (potential) project partners, conduct user testing, present your project to a relevant person (or group of people), onboard new community contributors, etc.? You can invite one to three external guests per project. We will email you more specific information to help you prepare for the closing workshop once the Second Stage starts. As always, we will have time to discuss questions and details during the 1:1 meetings. Please feel free to contact us early if you have any questions!

There will be a dinner with the invited guests after the workshop. And last but not least, we will end the day with a community evening that is open to everyone - to make sure we really get to celebrate your funding time.
