* Vorstellung eures Projekts und Austausch mit (potenziellen) Projektpartner*innen und/oder Kund*innen
* Onboarding von neuen Community-Mitgliedern
* Austauschformate mit eurer Community vor Ort
* Feedback zu eurer Öffentlichkeitsarbeit einholen
* Natürlich sind wir auch offen für andere Vorschläge, kommt gerne auf uns zu!

* unterschiedliche Kommunikationsmaßnahmen,
* User Testing und Anpassung der Software an die Bedürfnisse der Nutzer*innen,
* die Suche nach Partner*innen und/oder der Aufbau von Strukturen für die gemeinsame Weiterführung oder Übergabe des Projekts,
* das Schreiben der Projektdokumentation sowie andere Lernformate rund um das Projekt.

Administration
There is a problem in technology and, in particular, FOSS funding: innovations are readily financed, but it often remains unclear what happens afterwards. Few technologies are ready to go operational and self-financing after the initial funding.

For this reason, we offer the Second Stage as an opportunity to work for a further four months on securing the sustainability of the project. This is done, for example, by building up the community, disseminating and improving the usability of the software or by setting up an association structure or a business model. The focus is on promoting the long-term existence of the project by taking appropriate sustainability measures. A model should also be developed for how the project can be financially secured. A smaller part of the work can also flow into the further technical development of the software.
Notification of amendment (“Änderungsbescheid”)
If your project is selected by the jury for Second Stage funding, the project management agency ("Projektträger") will issue a notification of amendment ("Änderungsbescheid") once the funding has been approved. This notification announces the extension to the period of the Second Stage and the release of funds for personnel costs, in accordance with your grant award letter. You do not need to submit an additional application via profi-Online. If you have any questions, please contact your contact person of the project management agency.

Depending on the focus of your project in the Second Stage, you will also take part in two further coaching sessions - on topics such as security, founding or community building. The aim of the Second Stage is to make the project more usable and better known so that it has a good chance of being sustainable in the long term once the funding is complete.
Payment requests
In the regular funding phase, you could request the funds for the previous quarter (retrospectively) at the beginning of each quarter, specifically after the first and fourth funding months. In the Second Stage, this process continues and you will receive further payments after the seventh and tenth month of funding.

First of all: Projects that don't participate in the Second Stage are not less valuable to us. We estimate that a maximum of 50% of each round will participate in this extended funding period, and there are many reasons why a project might not participate. Maybe it's not a good fit for your project, or you personally don't see the need for this type of support. Maybe your project is already sustainable and you just need the six months to code. Maybe your application for the regular funding period was great, but your application for the second phase doesn't fit the scope of the Prototype Fund.
There are two special features to note regarding the two payment requests in the Second Stage:

Whether you are part of this part of Prototype Fund or not: We look forward to proudly presenting all projects after the regular funding period in Prototype Fund!
* The funding request in January is to be submitted as an interim report („Zwischennachweis"): The funding request falls at the turn of the year (funding amount for October to December, to be requested in January). For this purpose, an interim report must be submitted via profi-Online. Once you have clicked on your funding code in the project list, you can select „Zwischennachweis" (interim report) on the left side of the list.
* The Funding request in April is to be submitted as a so-called statement of use („Verwendungsnachweis“): The second funding request in the Second Stage is your fourth funding request overall and also the last one for the whole funding period. The last funding request must be requested as a statement of use and submitted to the Projektträger together with the final report. The statement of use will be activated by the Projektträger in profi-Online after the end of the funding period. Please note that there is a deadline for submission: the statement of use and final report must be submitted by April 30th at the latest.

Application
Information on the final report can be found here. Information on payment requests and interim reports can be found here.
If you haven't already applied for the Second Stage, the following paragraphs are not relevant for you: Unfortunately, it is not possible to add a Second Stage at this point, as the amount of funding allocated to your project was made final after your general application.

If you have applied for the Second Stage, the funds allocated for the four additional months are locked for now. During the 5th month of funding, a jury will allocate the limited Second Stage spots based on your work during the first months of funding as well as a new small application, consisting of a written proposal and a short pitch session. You will receive more information on this during the first few funding months. There will also be time in the 2nd 1:1 meeting to talk about your application and discuss any questions you may have.
Mandatory to-dos
In addition to the implementation of the key focus areas as specified in your application, a number of mandatory requirements must be fulfilled during the Second Stage:
* Coachings: As opposed to the regular funding period, the coaching sessions are mandatory in the Second Stage. Coaching units usually last three to four hours, which you can either book as a block or divide into several short sessions. You will receive two coaching units during the Second Stage. Unless you received specific instructions from the jury, the topics and coaching partners will be determined together with the program managers. In addition to coaching sessions offered by Superbloom (design, project management, community, communication, fundraising, etc.), other coaching partners with different areas of expertise are available in the Second Stage: Least Authority (security), VDI/VDE (starting a company/business models), the Free Software Foundation Europe (licensing) and Iris Wellmann (free coaching/strategy). Places are limited for all coaching sessions. The final decision on the allocation of coaching sessions lies with the program management.
* Participation in the online kick off, two 1:1 meetings and Monday updates: As in the regular funding phase, the 1:1 meetings and Monday updates are mandatory in the Second Stage. During these meetings, we will discuss the general status of the project and its strategy as well as your ideas for the closing workshop of the Second Stage. The 1:1 meetings can be held online or in person in Berlin or at events (e.g. CCC, FOSDEM). In addition, an online kick off for the Second Stage takes place as a video call.
* Writing a blog post or an article for the PTF Knowledge Base: Sharing (knowledge) is caring! Every project funded as part of the Second Stage has to publish an article on the Prototype Fund blog or in the Knowledge Base by the end of the funding period. If a contribution has already been written during the regular funding phase, this obligation does not apply. The topics of the contributions will be determined together with the program management and the communication team of the Prototype Fund. You can find more information here. Alternative formats and ideas can be discussed individually with the program management team.
* Participation in the closing event of the Second Stage: At the end of the Second Stage, the closing event takes place in Berlin. All team members of all projects have to participate. Team members who are not officially funded can participate as long as there is space available. Please clarify the possibilities of participation as early as possible with the program management.
* Preparation for the closing workshop: Every project will prepare a closing workshop for the closing event with external project partners. The guests will be selected and invited together with the program management.
* Documentation: At the end of the funding period, publicly available documentation must be submitted to the program management team for all Second Stage projects. The type of documentation may vary depending on the project. While the code of a project should always be properly documented, additional documentation measures depend on the target group: various types of tutorials for end users, admin documentation for self-hosted projects, developer documentation for libraries and other infrastructure projects, etc.
* Final report: After the completion of the funding period, the final report ("Schlussbericht") is to be submitted to the Projektträger along with a so-called statement of use ("Verwendungsnachweis"). The deadline for all documents is one month after the funding ends. Detailed information can be found here.

In mid-October, a panel consisting of jurors, the BMFTR, the DLR Projektträger and the Prototype Fund will assess whether the measures proposed in your application will contribute to the sustainable existence of the project. This will be followed by a short, hybrid pitch session, after which the panel will decide on the further funding of 10-15 projects. The evaluation is based on the technical status of the project, the measures to ensure sustainability (e.g. community building, public relations) and the planned milestones for Second Stage funding. Based on this, the panel proposes the funding of the second-stage period to the BMFTR, which decides on the four-month funding period.
Please keep in mind: projects that receive ten months of funding also take part in Demo Day after six months.

In the Second Stage, you can apply for a maximum of €63,333 as a team and a maximum of €31,667 as an individual; these amounts are based on two or one full-time position over four months. The hourly wage is capped at €50.
Offers
In addition, we offer the following optional formats to support you during your Second Stage:

Projects that are funded for ten months also take part in Demo Day after six months. At the end of the Second Stage, a workshop is held with a small number of guests at which the project results are presented and discussed in detail.
* Two consultation hours with Superbloom (the topics will be announced on a later date). You are already familiar with the format from the regular funding period. For your Second Stage we have chosen together exciting and relevant topics.
* Further 1:1 meetings as required: We have capacity for additional 1:1 meetings with you during the Second Stage – ask us questions, let us test your projects, ask for feedback on your logo, blog post, UI, community strategy, etc. We are here to support you and look forward to gaining deeper insights into your projects.
* Communication via the Prototype Fund channels: As in the regular funding phase, we will support the visibility of your projects with communication measures via our channels (Mastodon, LinkedIn, newsletter if possible).
* Support with networking: If you know the right people for your project, we’d love to introduce you! Feedback from the jury: We are happy to forward the jury feedback from the pitch session to you.

Second Stage process
Closing event of the Second Stage
The closing event is the event that happens at the end of your Second Stage funding period. The event, which takes place in Berlin end of March, is intended to give you the opportunity to exchange ideas and celebrate the end of the funding phase together. It will also be the occasion for you to present your project to invited guests during a workshop.

Work priorities
Key facts
The general aim of the Second Stage is to make Prototype Fund projects more sustainable after the regular six-month funding period. By sustainability we do not primarily mean the ecological sustainability of the prototypes (which of course is very important to us). The Second Stage is about preparing the projects for long-term use and further development.
Closing event of the Second Stage Class01: End of March 2027

For this purpose, different work priorities can be defined, which are presented as part of the internal application process for the Second Stage during the regular funding phase and are determined with the approval of the jury. Work priorities can be, for example (but not limited to):
Where: Expected at Publix - Haus für Journalismus und Öffentlichkeit, Hermannstr. 90, 12051 Berlin

* founding a company or an association,
Time: 2 pm - open end, community meet-up from 7:30 pm
* building a community or embedding a project in an existing community,
* different communication measures,
* user testing and adapting the software to the needs of the users,
* the search for partners and/or the establishment of structures for the joint continuation or handover of the project,
* writing the project documentation and other learning formats relating to the project.

Once the BMFTR has approved the release of funds for the Second Stage, the work priorities for the four-month extension of the funding period are finalized. The jury can also formulate additional conditions, such as addressing certain partners or participating in coaching sessions that match the work focus.
Schedule
After an internal part where you can share your experiences with us and learn from each other, a two-hour workshop with external guests will take place. All projects will have a table where they can present their project to their invited guests. We recommend that you think early on about what you would like to offer and who you would like to invite: Would you like to meet (potential) project partners, conduct user testing, present your project to a relevant person (or group of people), onboard new community contributors, etc.? You can invite one to three external guests per project. We will email you more specific information to help you prepare for the closing workshop once the Second Stage starts. As always, we will have time to discuss questions and details during the 1:1 meetings. Please feel free to contact us early if you have any questions!

Mandatory to-dos
There will be a dinner with the invited guests after the workshop. And last but not least, we will end the day with a community evening that is open to everyone - to make sure we really get to celebrate your funding time.
In addition to implementing the work focus and any conditions, a number of mandatory tasks must be fulfilled as part of the Second Stage funding:
* Preparation for and participation in the final workshop: At the end of the Second Stage, the final workshop takes place in Berlin. All team members of all projects have to participate. The participation of team members who are not officially funded is not planned, exceptions can be discussed (as early as possible) with the project management. External project partners (approx. two per project) will be invited to the workshop. The guests will be selected and invited together with the project program management.
* Writing a blog post or an article for the PTF Knowledge Base: Sharing (knowledge) is caring! Every project funded as part of the Second Stage should publish an article on the Prototype Fund blog or in the Knowledge Base by the end of the funding period. If a contribution has already been written during the regular funding phase, this obligation does not apply. The topics of the contributions will be determined together with the project management and the person responsible for communication at team Prototype Fund. Alternative formats and ideas can be discussed individually with the project management.
* Coaching: Unlike to the regular funding period, the coaching sessions are mandatory in the Second Stage (and include two topics of four hours each). The topics and coaching partners are determined together with the project management and in accordance to the conditions from the jury. The following coaching partners are available for the Second Stage: Superbloom (design, project management, community, communication, fundraising, etc.), Least Authority (security), VDI/VDE (founding), the Free Software Foundation Europe (licensing) and Iris Wellmann (free coaching/strategy). Places are limited for some coaching sessions. The final decision on the allocation of coaching sessions lies with the project program management.
* Participation in the online kick-off, two interim meetings and Monday updates: As in the regular funding phase, the interim 1:1 meetings and Monday updates are also mandatory in the Second Stage. In the interim 1:1 meetings, the general status of the project and its strategy are discussed and the final workshop is prepared. These can be held online or in person in Berlin or at events (e.g. CCC, FOSDEM). In addition, an online kick-off for the Second Stage takes place as a video call.
* Documentation: At the end of the funding period, publicly available documentation must be submitted to the project program management team for all Second Stage projects. The type of documentation may vary depending on the project. While the code of a project should always be properly documented, additional documentation measures depend on the target group: different formats of tutorials for end users, admin documentation for self-hosted projects, developer documentation for libraries and other infrastructure projects, etc.

Offers
In addition, the following optional formats are offered as part of the Second Stage:
* two consultation hours with Superbloom on the topics of "Community management & community building" and "Branding & identity",
* further interim meetings as required,
* distribution of the projects' communication measures via the Prototype Fund channels (Mastodon, LinkedIn, newsletter if applicable),
* if possible and based on existing Prototype Fund contacts: support with networking.

Closing workshop with external guests
Your task for this day is to design and conduct the two-hour workshop with external guests. To help you prepare as well as possible, here is some additional information and the deadlines by which we need certain information from you.
The goal of the workshop is to contribute to the sustainability of your project. Accordingly, the topic of your workshop should be related to your Second Stage, but at least to the general sustainability of your project. Possible topics can be, for example:
* User testing with project partners or your community
* Presentation of your project and exchange with (potential) project partners and/or customers
* Onboarding of new community members
* Exchange formats with your local community
* Gathering feedback on your public outreach
* Of course, we are also open to other suggestions, so feel free to contact us!
In total, you can invite one to two (up to a maximum of three, upon request) external guests per project. All projects will have a table island where you can present your project.
Preparation
At the beginning of February, we plan to send you further information about the closing event. At that time, we will also ask you to send us your ideas for the closing workshop with external guests. We don't need a fully fleshed-out concept; a few bullet points will do. You also don't need to have firm commitments from your potential guests by then. If you are unsure what works for you, you can always contact us for further discussion (by email or in a call)!
After receiving your proposals, we will give you feedback on whether the idea is realistic and suitable for the workshop. After that, either we can invite your guests or you can do so yourself.
Please organise all the materials and equipment you need for your workshop on your own. Of course, we will provide electricity, internet access, drinks, and snacks.

Administration

Notification of amendment (“Änderungsbescheid”)

If your project is selected by the jury for Second Stage funding, the project management agency ("Projektträger") will issue a notification of amendment ("Änderungsbescheid") once the funding has been approved. This notification announces the extension to the period of the Second Stage and the release of funds for personnel costs, in accordance with your grant award letter. You do not need to submit an additional application via profi-Online. If you have any questions, please contact your contact person of the project management agency.

Payment requests

In the regular funding phase, you could request the funds for the previous quarter (retrospectively) at the beginning of each quarter, specifically after the first and fourth funding months. In the Second Stage, this process continues and you will receive further payments after the seventh and tenth month of funding.

There are two special features to note regarding the two payment requests in the Second Stage:

 • The funding request in January is to be submitted as an interim report („Zwischennachweis"): The funding request falls at the turn of the year (funding amount for October to December, to be requested in January). For this purpose, an interim report must be submitted via profi-Online. Once you have clicked on your funding code in the project list, you can select „Zwischennachweis" (interim report) on the left side of the list.
 • The Funding request in April is to be submitted as a so-called statement of use („Verwendungsnachweis“): The second funding request in the Second Stage is your fourth funding request overall and also the last one for the whole funding period.

Information on the final report can be found here. Information on payment requests and interim reports can be found here.

Mandatory to-dos

In addition to the implementation of the key focus areas as specified in your application, a number of mandatory requirements must be fulfilled during the Second Stage:

 • Coachings: As opposed to the regular funding period, the coaching sessions are mandatory in the Second Stage.
 • Participation in the online kick off, two 1:1 meetings and Monday updates: As in the regular funding phase, the 1:1 meetings and Monday updates are mandatory in the Second Stage.
 • Writing a blog post or an article for the PTF Knowledge Base: Sharing (knowledge) is caring!
 • Participation in the closing event of the Second Stage: At the end of the Second Stage, the closing event takes place in Berlin. All team members of all projects have to participate. Team members who are not officially funded can participate as long as there is space available. Please clarify the possibilities of participation as early as possible with the program management.
 • Preparation for the closing workshop: Every project will prepare a closing workshop for the closing event with external project partners. The guests will be selected and invited together with the program management.
 • Documentation: At the end of the funding period, publicly available documentation must be submitted to the program management team for all Second Stage projects. The type of documentation may vary depending on the project. While the code of a project should always be properly documented, additional documentation measures depend on the target group: various types of tutorials for end users, admin documentation for self-hosted projects, developer documentation for libraries and other infrastructure projects, etc.
 • Final report: After the completion of the funding period, the final report ("Schlussbericht") is to be submitted to the Projektträger along with a so-called statement of use ("Verwendungsnachweis"). The deadline for all documents is one month after the funding ends. Detailed information can be found here.

Please keep in mind: projects that receive ten months of funding also take part in Demo Day after six months.

Offers

In addition, we offer the following optional formats to support you during your Second Stage:

 • Two consultation hours with Superbloom (the topics will be announced on a later date). You are already familiar with the format from the regular funding period. For your Second Stage we have chosen together exciting and relevant topics.
 • Further 1:1 meetings as required: We have capacity for additional 1:1 meetings with you during the Second Stage – ask us questions, let us test your projects, ask for feedback on your logo, blog post, UI, community strategy, etc. We are here to support you and look forward to gaining deeper insights into your projects.
 • Communication via the Prototype Fund channels: As in the regular funding phase, we will support the visibility of your projects with communication measures via our channels (Mastodon, LinkedIn, newsletter if possible).
 • Support with networking: If you know the right people for your project, we’d love to introduce you! Feedback from the jury: We are happy to forward the jury feedback from the pitch session to you.

Schedule

After an internal part where you can share your experiences with us and learn from each other, a two-hour workshop with external guests will take place.

 • User testing with project partners or your community
 • Presentation of your project and exchange with (potential) project partners and/or customers
 • Onboarding of new community members
 • Exchange formats with your local community
 • Gathering feedback on your public outreach
 • Of course, we are also open to other suggestions, so feel free to contact us!
